Is having my documents scanned going to take a lot of my time?

Absolutely not.  We need enough of your time to make sure we understand the data you will need to be able to find these documents in the future. If a document is needed while in our possession, we immediately put someone on the search to find, scan, and upload to our secure servers for easy retrieval by your staff.

Are you HIPAA compliant?

Absolutely. We have well-documented security policies and procedures, and our entire staff has completed HIPAA compliance training.

How hard will it be for us to access, store, and process our documents?

Your staff can be as involved as they want and are capable of handling anything from providing account names and permission to complete the installation themselves. Support is available from our manufacturers and us, whichever direction you choose to follow.

What is your approach and process for a document scanning project?

We first want to understand your objectives, how you normally do business, what’s most important to you and your company, and what your vision is for a successful outcome. Then, we benchmark your preferences against records and information management principles, looking at workflow, compliance, retention, regulatory items, and security. Then we develop a plan that works with your budget and your future planning needs.

What if I am not located near one of your facilities?

You can ship your records to us! Please just reach out to confirm which location, how to prepare correctly, and our team knows they are incoming, so they can prepare to receive them in our tracking system.

Do you sub-contract or outsource to local vendors?

Never. Your project stays with us and only us through the entire process.

My company is trying to go green, can you help?

Definitely, moving an electronic document around a network uses a lot less energy than, for example, driving a box of paper documents around in a van. Copying paper documents means chopping down more trees: copying scanned papers does not.

What do you do with my documents after you convert them?

All documents are either returned to the client or securely shredded by our 3rd party vendor who maintains the appropriate certifications of shredding for usAll boxes to be shredded are tracked in our system, palletized, and shrink-wrapped before the vendor backs up to our dock to pickup in an enclosed trailer for secure transfer to their shredding facility.

It seems like everything is moving to “the cloud.” Will our confidential documents be safe?

Absolutely. The infrastructure utilized in our Cloud solution is scaled to handle the most significant environment possible with security and redundancy that is unparalleled in our industry.

Do I drop off my records or do you pick them up?

Records can be dropped off or picked up depending on your needs.
